Beyond the Books Bookkeeping
More thinking.•More ownership.•More work completed.
Our solutions evolve with your practice, helping you get more from your bookkeeping team as your requirements change and your practice grows.
One team, five stages, one file
Most providers stop at stage two. Ours carries the file through to the point where your tax team can pick it up and go.
Transactions coded daily against your chart, so nothing piles up waiting for month end.
Every bank, credit card and loan account reconciled to source evidence, with unmatched items listed rather than absorbed.
GST reconciled and activity statement workpapers built on your templates to lodgement ready stage.
The same bookkeeper who knows the ledger helps prepare the tax file, instead of handing over a cold set of books.
They read the client emails and know what is outstanding, so they chase what is needed and keep the job moving.
Back with you review ready, not just processed.

A conversation that changed the way we look at bookkeeping
One of our clients shared a challenge: their bookkeepers were processing transactions, but not always thinking through unusual ones. At the same time, their tax accountants were doing work that the bookkeepers could have helped with.
We suggested a different approach. Let the bookkeepers think, investigate and take more ownership of the work. They could support workpaper preparation and help move tax files forward.
We also suggested that bookkeepers could help manage the workflow for the clients they already work on. Since they understand the client's books and work through client emails, they are often well placed to identify what is needed and keep the work moving.
The client was excited by the possibilities.
That is what Beyond the Books bookkeeping means to us: getting more from your bookkeeping team, not simply getting the books done.
- Unusual transactions get investigatedNot coded to a suspense account and left for your reviewer to find.
- Workpapers start earlierThe person who knows the ledger begins the workpaper, rather than handing over cold books.
- Tax files move soonerYour accountants open a file that is already part prepared.
- Workflow is ownedThey read the client emails, so they know what is outstanding and chase it.
What started as an accounting relationship developed into a genuine business partnership. As our business became larger and more complex, Venus continued to evolve with us.

Outsourced bookkeeping questions Australian practices ask
Why outsource bookkeeping?
Because it is the lowest margin work in a practice and the hardest to staff. Moving it offshore removes the recruitment cycle, the turnover risk and the leave cover problem, while the client relationship and the final review stay entirely with your practice. Most practices do it to protect capacity for advisory work rather than purely to cut cost.
How does outsourced bookkeeping work?
You give a dedicated offshore bookkeeper role based access to your own software and document portal. They work to your checklists and our documented SOPs, a Senior Review Manager checks the file, and it comes back reconciled with open items listed. Nothing is downloaded and your client never deals with anyone but your practice.
How much does it cost to outsource bookkeeping?
It depends on volume, complexity and whether you want a dedicated resource or ad hoc capacity, so we quote after a discovery call rather than publishing a rate card. Practices typically compare it against the fully loaded cost of an Australian bookkeeper including superannuation, leave, software seats, recruitment and turnover.
What does Beyond the Books bookkeeping actually mean?
It means the bookkeeper does not stop at processing. They investigate unusual transactions instead of coding around them, they help prepare the workpapers that follow, and they keep the client workflow moving because they already know the file. You get more from the same person, not simply a set of finished books.
Will an offshore bookkeeper understand Australian bookkeeping and compliance?
Yes. Our bookkeepers work exclusively on Australian files and are trained in GST, BAS, PAYG withholding, superannuation, STP Phase 2 and Payday Super, with ongoing training as ATO rules and rates change. They work in Xero, MYOB and QuickBooks every day, so Australian terminology, tax codes and lodgements are familiar to them.
How do we send work to the bookkeeper?
Through your existing systems. You give us secure, access controlled entry to your software and document portals, and work flows to your offshore bookkeeper the same way it would to an onshore team member. Most practices assign jobs through their practice management tools or emails.
How do you ensure work is done correctly?
Every job follows a maker checker process. Your bookkeeper prepares the work against your checklist and our documented SOPs, then a Senior Review Manager checks it before delivery. Queries are batched and sent together rather than dripped one by one, so what reaches your team is ready to send or sign, not ready to fix.
Can we assign BAS and payroll to the bookkeeper?
Yes. Payroll is processed end to end for your review, including STP Phase 2 reporting and superannuation. BAS and IAS are prepared to lodgement ready stage, GST reconciled with workpapers attached. You sign off and lodge the BASs.
Is our clients' data secure with an offshore bookkeeper?
Yes. We work inside your systems and subscriptions over encrypted, role based access, so data stays in a secured environment. There are no downloads, no printing and no removable media, every team member signs an NDA, and our practices align with the Privacy Act 1988 and the Australian Privacy Principles.
What happens if our bookkeeper leaves Venus?
Your work does not stop. Your processes, checklists and notes are documented from day one, so a trained team member steps in and the Senior Review Manager provides continuity of knowledge.
Can we start small?
Yes, and we recommend it. Start with a single client file end to end so you can judge the output before anything else moves across. There is no minimum volume and no lock in contract.
